Understand how bookings work

A booking is a reservation made by a Wellhub member to access a scheduled service at your facility — such as a group class, massage, or personal trainer session — through the Wellhub app.

Use bookings for activities that require a reserved time slot, such as: 

  • Group classes — yoga, pilates, swimming, dance, and similar activities;
  • Massages and wellness treatments;
  • Personal trainer sessions.
 You do not need to activate bookings for conventional gym training or open-floor workouts.

Once your class schedule is live, members can book in a few steps:

  • The member opens the Wellhub app and finds your space.

  • They search for the desired activity.

  • They tap "Book a class," select a date and time, and confirm.

After a successful booking, the member receives a confirmation email with class details, access instructions, and preparation notes. Class details are also visible directly in the Wellhub app.

To offer bookings, you need an active class schedule. The setup method depends on the type of classes you offer. In-person classes
You need a Club Management System (CMS) integrated with Wellhub. A CMS is software that lets you manage visitors, class schedules, and payments in your space. Without a CMS integration, you cannot create an in-person class calendar on Wellhub.

  • If you already use a CMS, request the integration through Partner Portal > Integrations in the main menu.
 Live (online) classes
Create your schedule directly in the Partner Portal, or through your CMS if you prefer.

Minimum class duration

Classes must be at least 30 minutes long.

Activity description

In-person classes must include an activity description so members can find and choose the right class.

Check-in window

After booking, members must check in via the Wellhub app when they arrive. The check-in button becomes available 30 minutes before the class starts.

Cancellation window

The cancellation window can be configured to up to 24 hours before the class. Members can cancel within this window without losing their daily check-in.

One booking per day

Each active Wellhub member can book only one live class per day, regardless of their plan. This daily check-in limit applies to in-person classes, virtual classes, and personal trainer sessions.

Cancellation reminder

Members receive a reminder 24 hours before the class to cancel if they cannot attend.

No-show and late cancellation

If a member cancels after the cancellation window or does not show up (no-show), they lose their daily check-in for that day.

Communication channels

Do not use external channels — such as WhatsApp, email, or direct messages — to cancel classes. All cancellations must go through the Wellhub system.

Class capacity

Set the number of available spots to reflect the real capacity of your facility so every member has a quality experience.

Member

The member finds and books a class in the Wellhub app. Arrives at the facility, taps the check-in button (available 30 minutes before class starts, based on geolocation) and sees check-in success confirmation.

Partner

Opens the Partner Portal and validates the pending check-in (manual flow) — OR — the connected CMS communicates automatically with Wellhub to validate the check-in.

System

Booking status updates from "Reserved" to "Completed." Payout is processed according to your commercial conditions, paid monthly.
